How to enable Out of Office on your IBM Notes Traveler client

29649 read – 2 comments – Mobile – Tags:

With the arrival of IBM Notes Traveler 9, it is now possible to configure your Out of Office with only your smartphone or tablet at your disposal.

What do you need:

  • An IBM Notes Traveler 9.0.x client
  • Traveler Companion if you use an iOS device.
  • IBM Notes Traveler 9.0.x running on your Domino 9 server.
  • If you are using a remote mail database, you must set the necessary security settings in your server document.
  • For best results in the delivery of out of office replies, ensure that out of office is set to the service type.

Using Out of Office on iOS

Once Traveler Companion is installed next to IBM Notes Traveler, you have to configure your Traveler login and password in the Companion client.

  1. Launch IBM Traveler Companion
  2. Configure your Traveler account under the accounts section.
  3. Under accounts, click on the Out of Office link
  4. Select the Enable Out of Office check box.
  5. Under Duration, you can change your leaving and returning dates (and time, if enabled) by selecting the applicable field. You can also select the Indefinite check box to enable out of office until it is manually turned off.
  6. If desired, change the subject and body of your out of office reply.
  7. If you want external recipients to receive your out of office reply, select the External Addresses check box.

The option to read, compose, forward and reply encrypted email messages remains the other functions of the Traveler Companion client.

Using Out of Office on Android

To manage out of office on an Android device, perform the following procedure:

  1. Press the IBM Notes Traveler Mail application.
  2. Open the options menu and select Settings.
  3. From the Settings menu, select Out of Office underneath Applications.

Your settings will save automatically.

Using Out of Office on Windows Phone 8

Follow these steps to manage out of office on a Windows Phone device:

  1. Select the Mail tile.
  2. Select  and then press Automatic replies.
  3. To enable out of office, slide the on/off slider to On.
  4. If you want external recipients to receive your out of office reply, select the checkbox.
  5. You can enter optional notes to accompany your out of office reply.
  1. Note: Only one reply note can be saved. If text is entered into the bottom field, it will overwrite the message from the Inside my organization field.
  2. Select the check mark button to save your settings.

Using Out of Office on your Blackberry 10 client

Follow these steps to manage out of office on a BlackBerry 10 device:
  1. From the BlackBerry Hub, bring up the menu by selecting the  button.
  2. Select Settings and then press Email Accounts.
  3. Choose the mail account you wish to manage out of office replies on.
  4. To enable out of office, slide the on/off slider to On.
  5. You may enter an optional note to accompany your out of office reply.

Note: BlackBerry 10 devices automatically set out of office settings for internal and external recipients.

Limitations

Current Windows Phone and BlackBerry 10 devices do not allow the out of office end date to be set from the device. IBM Notes Traveler will automatically set the end date to a date far into the future (12/31/2050) to allow for indefinite out of office time. This date will appear in the body of the reply email, but will not appear in the subject if the server is Domino 9.0 or higher.

Please do not hesistate to contact us if you want to deploy this solution in your organization!

OOO doesn't work on iOS 9, even the Traveler is 9.0.1 and Companion is 9.0.1.

Notes Admin
Dear, I am using iOS 9.0.1. The Domino version is 9.0.1 FP4 with Traveler 9.0.1.7. The companion client version is 9.0.11.20150911. I enabled the OOO on the companion client and the OOO status was immediately updated in my mail file. Is it possible to confirm that this is also the case on your setup?
